Probationary, Full Time Job SummaryUnder the direct supervision of
the Senior Associate Vice President in Facilities Development &
Operations and with an indirect reporting relationship to the Dean
of the Library, the Facilities Coordinator is responsible for the
coordination of all facility-related services in a manner that best
supports the ongoing successful operation of the assigned
building(s) while also ensuring the highest level of customer
engagement and support. The Facilities Coordinator serves as the
primary point of contact for internal and external customers
seeking support and information regarding facilities-related
services and also maintains a strong working relationship with all
units within Facilities Development & Operations.Facilities
Development & Operations provides services to a University campus
spread across nine sites comprised of +150 acres, 81 buildings, and
more than seven million gross square feet. The Facilities
Coordinator will be assigned to the Dr. Martin Luther King, Jr.
Library building, comprised of nine stories and more than 440,000
gross square feet, which is host to both the Universitys library
services and programs as well as programs and services of other
affiliated University units. Additionally, the Library also hosts
City of San Jos library services and programs administered by the
San Jos Public Library. The University Library and Facilities

Responsibilities
- Coordinates directly with other units in Facilities Development
& Operations concerning maintenance, repair, and operational
services for the area of assignment
- Reviews the proper building operational status and any issues
affecting proper operation and assists in the development of
strategies to correct operational deficiencies
- Conducts routine inspections throughout the area of assignment
ensuring all facility-related deficiencies are reported and
progress toward correction tracked
- Coordinates closely with the Energy & Utilities unit to
optimize building, including its systems and equipment, settings so
as to minimize utility costs and lower carbon footprint
- Coordinates with other units in Facilities Development &
Operations concerning the work of vendors or contractors in a
manner minimizing disruption
- Directly manages minor projects where requested and in support
of other units within Facilities Development & Operations. To also
include efforts associated with branding and signage
- In collaboration with other units within Facilities Development
& Operations, monitors and analyzes operating budget performance
and develops recommendations for changes as necessary to accomplish
intended outcomes
- Facilitates an appropriate level of responsiveness and
communication to understand customer needs and maintain effective
customer relationships
- Analyzes situations and develops possible solutions and
recommendations for consideration, implementing such where
directed
- Develops and implements facility operational response plans
associated with short and long term emergencies or facility
operational disruptions in a manner dovetailed with campus and
department policiesKnowledge, Skills & Abilities
- Working knowledge of practices and procedures relating to the
maintenance and operation of facilities, including libraries, their
associated specialized systems, spaces, and areas (i.e, special
collections)
- Expertise in investigating and analyzing problems with a broad
administrative impact and implications. Ability to anticipate
problems and address them proactively
- Highly developed communication skills to develop procedures,
guidelines, and reports and to then publish and disseminate
information across multiple platforms including in-person
engagement and training of personnel and the general public and
website and social media presence
- Ability to effectively interpret, organize and present
information, ideas and concepts in written or presentation format
and use consultative, collaborative and facilitation skills to
obtain decisions required to move forward toward
implementationRequired Qualifications
- A bachelor's degree and/or equivalent training
- Two years of administrative work experience involving study,
analysis, and/or evaluation leading to the development or
improvement of administrative policies, procedures, practices, or
programsPreferred Qualifications
- Bachelors degree in business, public administration, real
estate management or a related field.
- Three years of experience developing, coordinating, and
implementing services in support of a complex business or public
agency
- Work experience in a State, College or University setting
- Work experience in a library, archives or museum setting
- Experience planning and coordinating facility related
operational servicesCompensationClassification: Administrative
Analyst/Specialist, Exempt IAnticipated Hiring Range: $5,515/month
- $5,740/monthCSU Hiring Range: $3,897/month - $7,051/month San Jos
