What you will do

Provides administrative support to the Site Manager. Requires an in-depth knowledge of company operations, policies and procedures. Handles details of a highly confidential and critical nature. Makes contacts of a sensitive nature inside and outside the company. Works on problems of diverse scope requiring independent action and initiative. Determines methods and procedures on new assignments. Works on complex issues where analysis of situations or data requires an in-depth evaluation of variable factors. Has a lead responsibility for other support functions of the company. Provides guidance to other personnel related to safety, training, facilities and general office matters.

Responsibilities will include

* Manages the organization of the Site Manager including communication and documentation (reports, files, papers/forms to be signed and other paperwork). * Works closely with the Site Manager and Senior Staff Members to provide administrative support with general administrative tasks. * Researches and compiles data for presentations for the Site, which may include generating reports from SAP. Generates final versions. * Prepares agendas, presentations and meeting minutes for Management Staff Meetings, Company Meetings and other senior management level meetings. * Acts as liaison with governmental bodies and regulating agencies and ensures that all required permits and registration documentation are current. * Serves as Safety Officer: *

  • Develops, implements and monitors Safety Programs and Procedures. * Assists Senior Management in complying with current and safety regulations with the objective of ensuring that all reasonable measures are taken to protect the safety of employees and visitors. * Increases safety awareness at all levels within the organization. * Responds to employees' safety concerns and escalates to Senior Management as appropriate. * Coordinates training of personnel in areas of safety. * Coordinates registration and removal of hazardous waste.

* Assists with planning and execution of employee events. * Monitors training status, generates reports upon request. Serves as a back-up for entering data into the training database. * Reviews the company's administrative processes for efficiency. Suggests and implements improvements. * Responsible for making travel arrangements in accordance to the company travel policy for all employees. * Issues and revokes and security badges, assigns security access codes and trains new employees. * Reviews and approves monthly building and office expenses. * Supports the Quality System and Quality Policy by following procedures / work instructions and creating records to meet the requirements of Tecan's Quality Management System.

* Outstanding interpersonal skills including the ability to work with a diverse group of peers, managers and customers. * 3+ years of experience working for executive management. * A desire to make a positive impact to human health and the environment. * Hands on and high energy. * Maintains the highest degree of confidentiality. * Excellent administrative and organizational skills, including attention to detail, ability to manage multiple tasks in a fast-paced environment. * Strong computer skills, extensive knowledge of Microsoft Word, PowerPoint, and Excel. * Experience working in a legal firm or department a plus.
