Job Description:

Job Purpose The purpose of this job is to oversee and support all billing functions. Client and advisor billing is a fast-paced, high volume, and deadline driven environment. The primary responsibility is to ensure the complete and accurate billing of client accounts and provide a seamless experience for advisors and internal partners. A very strong sense of ownership is required in this role to take escalated issue resolutions through the entire lifecycle to completion. Duties and Responsibilities Become the knowledge expert in all billing related functions, including the technology system and business process for billing related activities Serve as primary contact for all billing related inquiries Research billing related inquiries and issues and provide guidance and solutions Work directly with internal business departments, advisors, custodian business partners, broker-dealers and outside vendors to research and resolve billing inquiries Communicate any complex billing issues or solutions directly with advisors, broker-dealers, or external partners Facilitate all billing requests and provide exceptional client service internally and externally Collaborate closely with the Finance Team and Advisor Services Proactively communicate with internal teams on status of fee payments and other pertinent billing issues and activities Develop and communicate process and procedures for billing related activities to internal teams and external partners Manage monthly and quarterly billing cycles, including but not limited to timelines and communication, internally and externally Ensure all billing-related processes and internal controls are documented and updated Perform monthly data audits of billing related data pre and post fee calculation cycles Perform monthly data audits to ensure accuracy and adherence to billing fee schedules and programs Perform monthly reconciliation of advisor/client fee schedules within the portfolio accounting system Verify fee schedule compliance Develop internal tracking mechanisms and resolutions for fee reject processing Ensure all billing-related processes and internal controls/audits are documented and updated Provides management team monthly report of data audit results Financial analysis and projects as requested by advisors, Finance, or Advisor Services Compiles and maintains fee adjustment reports and proactively publishes status updates to internal teams Ongoing tasks include, but are not limited to: Weekly, monthly and quarterly audits of fee schedules and rep codes Monthly and quarterly audits of billing files Managing the fee reject process and communication between Envestnet and Loring Ward teams Communication with Broker-Dealers, RIAs, and advisors on payment questions Processing of bill files directly with custodian partners Creating and maintaining of advisor rep codes and vendor codes Creating and maintaining fee grids, advisor pricing tiers, billing matrix of BD partners Manual tracking of advisor debit balances and goodwill credits User portal maintenance for advisor/RIA fee statements Manage any large-scale fee schedule updates with Envestnet Maintain pricing/billing matrix at both Broker-Dealer, RIA, and advisor level Identify and help to implement business process improvements Maintain data integrity in multiple databases across the organization Create and monitor reconciliation reports and resolve reconciliation differences Identify inefficiencies and opportunities for process improvement, and offer practical solutions Deliver exceptional service to financial advisors as it relates to Operations and Service Support the VP, Operations & Data Management with ad hoc operational projects and activities Effectively prioritize work to meet deadlines and service level agreements Other duties and projects will be assigned as needed Qualifications Experience 5 years in the financial services industry with a minimum of two years in RIA industry Education/Training Bachelor's degree from and accredited college; or 7 years of equivalent work experience Knowledge, Skills, and Abilities Excel - intermediate knowledge is essential (formulas, filters, pivot tables, etc.); advanced knowledge a plus Strong organizational skills, high attention to detail, and the ability to prioritize work Ability to work under pressure and within tight deadlines Self-starting problem solver who can think critically Strong sense of customer service to internal departments, vendors/partners, and advisors Excellent critical thinking and analytical skills Personable and proactive with strong work ethic Detail-oriented and has process-oriented approach Excellent communication skills and ability to verbally deliver complex solutions via phone and over email is required Must take ownership and accountability to provide the best service in the industry Work proactively with minimal supervision Ability to work evenings and weekends as needed Strong leadership, motivational, and coaching skills Positive attitude, with a high level of integrity and ethics Strong analytical skills and the ability to adapt to a dynamic work environment Client focused attitude with the ability to quickly assess and resolve escalated issues Ability to build strong working relationships with clients and staff Focus on meeting and exceeding customer expectation
