Position Title: 316057-Regional Office Specialist (support of
financial, reporting, project management, and administrative
operations of the General Affairs
Location: San Jose,CA
Pay Rate: $30-40 Contract Duration: 5 Months-Extension Description
of role: Overall support of financial, reporting, project
management, and administrative operations of the General Affairs
(GA) group with a focus on Regional Office administration.
Principle Functions: --- Provide direct services/project management
support for GA in areas of finance & administration, construction,
and building operations & maintenance of Regional Offices ---
Provide financial operations support in tracking annual capital &
expense spending including annual budget management --- Create and
maintain key financial reports including reports for ad-hoc
assignments --- Utilize data from GA systems to create reports to
measure the performance of GA including management of workflow,
facility standardization, and other key metrics --- Participate in
the development of programs and projects to increase the efficiency
of GA processes and operations --- Provide daily operations support
in expense tracking, invoice payments, creation of budget requests,
purchase requests & purchase orders, PUMIs, and all other financial
functions --- Assist with service cancellation, relocation, calls
and scheduling of remote offices' standard vendors --- Participate
in the request for proposals, planning preparation, and
administration of contracts --- Manage projects and programs as
assigned --- Communicate and work across teams for collaboration
with Finance & Operations groups i.e. Purchasing, Accounting,
Legal, IP, and HR Required Qualifications: --- Bachelor's degree
from an accredited college or university in accounting, finance,
business, or related fields --- At least two years relevant
experience or at least five years professional experience ---
Familiarity with financial operations, facilities, and office
services functions, with direct experience in a facilities
department, preferred Preferred Qualifications: --- Excellent
communication (verbal and written) and interpersonal skills ---
Proficient with computer software programs including Microsoft
Excel, PowerPoint, Word, and Outlook --- Work well under pressure
and within time constraints in a fast-paced environment --- Ability
to multi-task with attention to details --- Ability to build
relationships with both internal and external customers ---
Excellent analytical and organizational skills --- Capable of
working with ambiguity and change -hybrid onsite schedule until
campus re-open
